Print and Mail Company is an online service that prints your letter in Luxembourg and mails it to any country through POST Luxembourg, so you can send a real paper letter without a printer, envelope or stamps. You can send a letter online with Print and Mail Company by uploading a PDF, choosing the print options, entering the recipient's address and paying; we then print the letter in Luxembourg and post it for you. 1. **Upload your PDF** on the [send page](/app/send). No, you don't need a printer, envelopes or stamps to send a letter with Print and Mail Company: we print, fold, envelope and frank your letter and hand it over to POST Luxembourg. All you need is your letter as a PDF (or an AI assistant that writes it with you) and a web browser. Postage is included in the price you see before paying, the recipient's address is printed directly on the envelope, and there is no trip to the post office. ### How can I send a letter from abroad? You can send a letter from abroad with Print and Mail Company by uploading it online from wherever you are: we print it in Luxembourg and post it to the recipient, whether that is an authority, bank or landlord in your home country or an address anywhere else in the world. No, Print and Mail Company sends printed letters only: we print your document on A4 paper and post it in an envelope, so parcels, goods and postcards are not possible. Yes, the price Print and Mail Company shows you before you pay always includes 17% Luxembourg VAT, and VAT applies to the whole letter, including the postage. Our individual price components (envelope, paper, printing, postage, registered mail) are net prices; VAT is added to the total. If a card surcharge applies, it is shown as a separate line before you pay. You get an invoice with VAT for every letter and every payment in your account. ### Is there a subscription or monthly fee? No, Print and Mail Company has no subscription, no monthly fee and no setup fee; you only pay for the letters you send. Payment works with prepaid credit: you load at least CHF 10.00 / €10.00 / £10.00 / US$10.00, and whatever is left after your letter stays in your account for the next one. You can also pay for a single letter with a smaller amount; then a processing fee of CHF 0.50 / €0.50 / £0.50 / US$0.50 applies. Credit doesn't expire while your account exists, and unused credit is refunded on request. ### Which payment methods do you accept? Print and Mail Company accepts card payments through Stripe, including Visa, Mastercard and American Express, plus other methods Stripe offers at checkout, such as Apple Pay or Google Pay where available. You can also pay for a letter with credit already in your account. Because Stripe processes card payments, we never see or store your full card number. Yes, you can pay with American Express at Print and Mail Company, as well as with Visa, Mastercard and other methods offered by our payment provider Stripe. American Express cards issued outside the EEA (for example in the USA) or in the UK carry a card surcharge because they cost us much more to accept; it is shown as a separate line before you pay. Consumer cards issued in the EEA, American Express included, are never surcharged. ### Why is there a card surcharge? Print and Mail Company adds a card surcharge only for cards that cost us much more to accept: cards issued outside the EEA (for example an American Express card from the USA) and cards issued in the UK. Consumer cards issued in the EEA are never surcharged. - The surcharge is shown as a separate line before you pay, so you can decide before anything is charged. - Surcharges already charged are not refundable, even if you later ask for unused credit to be refunded. ### What is the minimum top-up? The minimum top-up at Print and Mail Company is CHF 10.00 / €10.00 / £10.00 / US$10.00, depending on your account currency, and whatever you load beyond the price of your letter stays in your account as credit for future letters. You can also pay for just one letter with a smaller amount, but then a processing fee of CHF 0.50 / €0.50 / £0.50 / US$0.50 applies. - Credit doesn't expire while your account exists. - Unused credit is refunded to your original payment method on request; processing fees and card surcharges are not refundable. - AI assistants and the API also pay for letters from this credit. ## Documents & formatting ### Which file format do I need? Can I upload a Word document? Print and Mail Company prints from PDF files only, so save or export Word, Pages or Google Docs documents as a PDF before uploading. Your PDF should be: - up to 20 MB and up to 250 pages - not password-protected - A4 portrait, with 9 mm free on every side ([what this means](/faq#what-does-the-margin-requirement-mean)) Other page sizes, such as US Letter, are scaled to A4; we ask you first. No document yet? An [AI assistant](/ai-assistants) can write the letter with you, and we lay it out as a properly formatted A4 letter. ### What does the margin requirement mean? The margin requirement means that Print and Mail Company needs 9 mm of empty space on every side of every page, with no text, images or background colour in that border, because the printer grips the paper there. We check each page automatically when you upload your PDF and mark problem areas in red on the page thumbnails. To fix flagged pages: - click "shrink to fit margins" to scale the pages so that everything fits inside the margins, or - adjust the margins in your document and upload a corrected PDF. Sending is blocked until every page passes. Letters written with our AI tool `compose_letter` always pass the margin check. ### My PDF failed the check. What can I do? If your PDF fails Print and Mail Company's automatic check, the page thumbnails show the problem in red (usually content inside the 9 mm margin), and you can fix it with one click on "shrink to fit margins" or by uploading a corrected file. The check covers: - **Page size:** A4 portrait; other sizes are scaled to A4 after we ask you. - **Margins:** 9 mm free on every side. - **File:** PDF, up to 20 MB and 250 pages, not password-protected. - **Colour:** if your PDF contains colour but you chose black & white, we warn you first. Yes, Print and Mail Company prints in black & white or colour, and single-sided or double-sided (duplex); you choose both options before you pay. - **Colour** applies to the whole document and costs €0.21 per printed page instead of €0.10 for black & white (before VAT). If your PDF contains colour and you choose black & white, we warn you first. - **Double-sided** printing needs half as many sheets (pages ÷ 2, rounded up). That saves paper (€0.09 per sheet), makes the letter lighter and can allow a smaller envelope. Printing is charged per printed page either way. ## Envelopes & formats ### Which envelope will be used for my letter? Print and Mail Company automatically pre-selects the smallest envelope your letter fits into, and you can always choose a larger one. The recipient's address is printed directly on the envelope, so there is no address window. - **DL** (220 × 110 mm): folded twice (tri-fold), up to 5 sheets; POST format XS (up to 50 g) - **C5** (229 × 162 mm): folded once, up to 10 sheets; POST format XS up to 50 g, otherwise S - **C4** (324 × 229 mm): flat, not folded, up to 250 sheets; POST format S up to 500 g, M up to 2 kg Envelope prices before VAT: DL €0.15, C5 €0.17, C4 €0.22. Postage depends on the POST format, so the envelope affects the total, which you always see before paying. ### How many pages can I send in one letter? Print and Mail Company accepts PDFs of up to 250 pages, and each envelope holds a set number of sheets: up to 5 in a DL, 10 in a C5 and 250 in a C4 envelope. - **Single-sided:** one page per sheet. - **Double-sided:** two pages per sheet (pages ÷ 2, rounded up), so a 7-page document needs 4 sheets. - **Weight:** one A4 sheet weighs about 5 g; the envelope size and the total weight determine the POST format (XS, S or M) and therefore the postage. The smallest envelope that fits is chosen automatically, and you can always pick a larger one. ### Can I send documents flat, without folding? Yes, choose the C4 envelope (324 × 229 mm) and Print and Mail Company sends your A4 pages flat and unfolded, up to 250 sheets. This suits certificates, contracts, applications and anything else that should arrive without creases. You can pick C4 even when a smaller envelope would fit. A C4 letter travels in POST Luxembourg's S format (up to 500 g) or M format (up to 2 kg), so it can cost more than a folded letter; the exact price is shown before you pay. ### Do you use window envelopes? Where does the address go? No, Print and Mail Company doesn't use window envelopes: the recipient's address you enter is printed directly on the envelope. Your letter therefore doesn't need an address block in a specific position, and you don't need to add a separate address page. The letter may still contain an address block, for example as part of a formal letter layout, but it isn't used for delivery. You enter the address in a form when sending, or choose it from your address book. ### Can I add my own return address? Yes, you can add your own return address, and Print and Mail Company prints it on the envelope; if you leave it empty, our company return address is printed instead. With your own return address, the recipient sees at a glance who the letter is from. Addresses you save in your address book can be reused for future letters. ## Shipping & delivery ### How do I send a letter abroad from Luxembourg? To send a letter abroad from Luxembourg, upload your PDF to Print and Mail Company, enter the foreign address and pay; we print the letter in Luxembourg and hand it to POST Luxembourg, which delivers it to the destination country together with partner postal operators. A letter sent with Print and Mail Company typically arrives 1–2 business days after handover within Luxembourg, 2–4 in Germany, Belgium, France and the Netherlands, 3–6 in the rest of Europe and 5–15 in the rest of the world; these are typical times, not guarantees. Letters paid by 12:00 Luxembourg time on a business day are usually handed to POST Luxembourg the same day, later orders the next business day. Delivery after handover is carried out by POST Luxembourg and partner postal operators, and we can't influence transit times or customs delays. Same-day delivery is not available, so send time-critical letters early and consider [registered mail](/faq#send-a-registered-letter-online) for tracking. ### When will my letter be printed and posted? Print and Mail Company usually prints letters paid by 12:00 Luxembourg time on a business day and hands them to POST Luxembourg the same business day; letters paid later go out the next business day. Business days are Monday to Friday, excluding Luxembourg public holidays. You get an email at every step: **Paid** → **In production** → **Printed** → **Posted**. While the status is "Paid", you can still [cancel the letter](/faq#can-i-cancel-a-letter); once it is "Posted", registered letters get their tracking number. ### What happens if the address is wrong? Print and Mail Company prints the address exactly as you entered it, so a wrong address can mean that the letter isn't delivered; if you notice the mistake before production starts, you can cancel the letter and get the full amount back as credit. - **Before production (status "Paid"):** cancel the letter in your account; the full amount goes back to your credit, and you can send it again with the correct address. - **After production has started:** the letter can no longer be cancelled or changed. Letters that can't be delivered are handled by the postal operators under their own rules. - **Our mistake:** if the printed address differs from what you entered, we reprint and resend free of charge or refund the amount to your credit. Tip: check the street, postcode and country carefully before you pay. ### What if my letter is lost, delayed or damaged? Once Print and Mail Company has handed your letter to POST Luxembourg, the postal operators are responsible for transit; we help you file a claim with POST Luxembourg if a registered letter is lost, and we reprint free of charge if something went wrong in our production. - **Delays:** delivery times are typical, not guaranteed, and we can't influence transit times or customs delays. - **Lost registered letter:** we help you file the claim with POST Luxembourg; compensation follows POST's terms. - **Standard letters:** they have no tracking number, so they can't be traced. - **Printing errors or damage in production:** we reprint and resend free of charge or refund the amount to your credit. Yes, you can send a registered letter online with Print and Mail Company: upload your PDF, choose registered mail, and we send it as a POST Luxembourg registered letter (Einschreiben / recommandé) with a tracking number and a signature on delivery, to recipients in Luxembourg or abroad. - The tracking number appears in your account and in your email once the letter is posted, and you can follow it on post.lu. - The recipient signs on delivery. - Registered mail costs €6.50 (before VAT) on top of the normal letter price. - Since 1 January 2026, POST Luxembourg accepts only documents in registered letters; our letters are always printed documents, so this always fits. Registered mail is ideal for cancellations, formal notices, deadlines and letters to authorities. ### How much does a registered letter cost? Registered mail with Print and Mail Company costs €6.50 plus VAT on top of the normal letter price, covering POST Luxembourg's registered-mail fee and our handling. Only registered letters sent with Print and Mail Company can be tracked: they get a tracking number that you can follow on post.lu, while standard letters have no tracking. For every letter we email you the production status (Paid, In production, Printed, Posted), so you know when it was handed to POST Luxembourg. For registered letters, the tracking number appears in your account and in the email once the letter is posted. A registered letter sent with Print and Mail Company is signed for by the recipient on delivery and can be followed on post.lu with its tracking number, but a separate return receipt (Empfangsbestätigung / avis de réception) is not offered yet. The tracking number is shown in your account and in your status email once the letter is posted. Keep it together with your invoice and your own copy of the PDF as a record of what you sent and when: we delete uploaded files automatically 30 days after the letter was posted. ### Should I send a cancellation or formal notice by registered mail? Yes, registered mail is ideal for cancellations, formal notices, deadlines and letters to authorities, and Print and Mail Company sends it as a POST Luxembourg registered letter with a tracking number and a signature on delivery. Because delivery times are typical rather than guaranteed, send time-critical letters early: - Letters paid by 12:00 Luxembourg time on a business day usually go out the same day. - Typical delivery after handover: Luxembourg 1–2 business days; Germany, Belgium, France and the Netherlands 2–4; rest of Europe 3–6; rest of the world 5–15. - Keep the tracking number, your invoice and a copy of your letter. Whether a registered letter meets a particular legal requirement depends on your contract and the applicable law, so check the required form and deadline beforehand. ## Privacy & security ### Is my letter private? Yes, your letter is private: Print and Mail Company processes its content only to print it, our staff handle the printouts physically in production without reading them, and we never use your documents for profiling, advertising or AI training. - Uploaded PDFs and print files are deleted automatically 30 days after the letter is posted (or after upload, if it is never sent). - Data is hosted in the EU and encrypted in transit (TLS) and at rest by our providers. - The GDPR applies; send privacy requests to [privacy@printandmailcompany.com](mailto:privacy@printandmailcompany.com). Print and Mail Company stores your data in the EU: the service runs on Vercel in the Frankfurt region, the database on Neon Postgres in the EU, and files on Cloudflare R2 under EU jurisdiction. Payments are processed by Stripe, and emails are sent through Resend. Data is encrypted in transit with TLS and at rest by our providers. Print and Mail Company deletes uploaded PDFs and generated print files automatically 30 days after the letter was posted, or 30 days after upload if the letter is never sent. Invoices are the exception: Luxembourg accounting law requires us to keep them for 10 years. If you may need the document later, keep your own copy. ### Do you store my card details? No, Print and Mail Company never sees or stores your full card number, because card payments are processed by Stripe. You can pay with Visa, Mastercard, American Express and other methods Stripe offers, such as Apple Pay or Google Pay where available, or with credit already in your account. AI assistants connected to your account pay only from prepaid credit; if it isn't enough, they give you a top-up link to pay yourself. ## Account & credit ### Do I need an account to send a letter? Yes, you need a free Print and Mail Company account to send a letter; you can [sign up](/sign-up) with email and password, with a magic link sent to your inbox, or with your Google account. There is no subscription, monthly fee or setup fee. Your account keeps your letters and their status, your invoices, your credit balance and an address book of saved addresses. You can check prices on the [pricing page](/pricing) without an account. ### Can I pay in US dollars, British pounds or Swiss francs? Yes, a Print and Mail Company account can be in EUR, USD, GBP or CHF: you choose the currency when you sign up, and it can't be changed after your first payment. Our prices are set in euros; for USD, GBP and CHF accounts they are converted at the European Central Bank (ECB) reference rate plus a 12% currency margin, fixed at the moment you pay. ### Does my credit expire? Can I get a refund? No, credit in your Print and Mail Company account doesn't expire as long as the account exists, and unused credit is refunded to your original payment method on request. Processing fees and card surcharges that were already charged are not refundable. To request a refund, write to [support@printandmailcompany.com](mailto:support@printandmailcompany.com). When you cancel a letter before production starts, its full amount also goes back to your credit. ### Can I cancel a letter after paying? Yes, you can cancel a letter in your Print and Mail Company account as long as production hasn't started (status "Paid"), and the full amount goes back to your credit balance. After production has started, the letter can no longer be cancelled. - Unused credit can be refunded to your original payment method on request ([details](/faq#does-credit-expire)). - Consumers have a 14-day right of withdrawal, but because we start printing immediately at your explicit request, it expires once the letter has been printed (Article 16(a) of the EU Consumer Rights Directive and the Luxembourg Consumer Code). - If we made a mistake, such as a print error, we reprint and resend free of charge or refund the amount to your credit. Yes, Claude, ChatGPT and other MCP-capable AI assistants can mail a real letter for you once you connect the Print and Mail Company MCP connector: the assistant writes or uploads the letter, shows you the exact price and sends it only after you explicitly confirm. A typical flow: 1. You ask, for example: "Write a cancellation letter for my gym membership and send it by registered mail." 2. The assistant writes the text with `compose_letter`, and we render a properly formatted A4 letter that always passes the margin check. 3. It creates a draft with `create_letter` and shows you the exact price; nothing is charged yet. 4. After your explicit confirmation, `send_letter` pays from your prepaid credit or gives you a top-up link. To add Print and Mail Company to Claude, ChatGPT, Cursor or another MCP-capable app, add a custom connector (remote MCP server) with the URL `https://printandmailcompany.com/mcp` and sign in with your Print and Mail Company account when prompted. 1. Open the connector or MCP server settings in your AI app. 2. Add a custom connector and enter `https://printandmailcompany.com/mcp`. 3. Sign in and approve access; the assistant can then use the tools. Menu names differ between apps and versions. Price quotes, the destination list and PDF margin checks work even before you sign in, and tools without OAuth support can use an API key instead. No, an AI assistant connected to Print and Mail Company can't send a letter or spend money without your explicit approval: `send_letter` requires your confirmation, and payment comes only from your prepaid credit. - `create_letter` only prepares a draft with the exact price; nothing is charged. - If your credit isn't enough, `send_letter` returns a top-up link that you open and pay yourself. - The assistant can only spend credit you have loaded, so you control the budget. - You can still cancel a letter in your account until production starts. ### What does the compose_letter tool do? The `compose_letter` tool lets an AI assistant write the text of your letter, and Print and Mail Company renders it as a properly formatted A4 letter that always passes the margin check, so you need neither a PDF nor a word processor. You agree on the content with your assistant; we take care of the layout. The assistant can then create a draft with the exact price (`create_letter`) and send it once you confirm (`send_letter`). As with every letter, the recipient's address is printed directly on the envelope. ### Is there an API for sending letters? Yes, Print and Mail Company has a REST API at `https://printandmailcompany.com/api/v1`, documented by an OpenAPI specification at [/openapi.json](/openapi.json), so your own software can create and send letters. Requests are authenticated with an API key for your account, and letters are paid from your prepaid credit. The [MCP server](/faq#what-is-the-mcp-connector) can also be used with an API key, and machine-readable documentation is available at [/llms.txt](/llms.txt). ### Is there documentation for AI assistants, like llms.txt? Yes, Print and Mail Company publishes machine-readable documentation for AI assistants at [/llms.txt](/llms.txt) and [/llms-full.txt](/llms-full.txt), and Markdown versions of its pages are available too. Yes, Print and Mail Company works for businesses, freelancers and associations that want to send letters by post without printing, enveloping and franking them in-house. - An invoice with VAT for every letter and payment - Registered mail with tracking for formal notices and deadlines - Your letterhead in the PDF and your own return address on the envelope - REST API and MCP connector to automate letters from your software or AI assistant - A Data Processing Agreement (DPA) on request Bulk mail merge from a CSV file is not available yet; to send many letters, use the [API](/faq#is-there-an-api). Yes, Print and Mail Company provides an invoice or receipt with VAT for every letter and every payment, available in your account. Invoices are issued by LeFaLux vGmbH, Luxembourg (VAT LU36784104), and include 17% Luxembourg VAT, which applies to the whole price including postage. We keep invoices for 10 years, as Luxembourg accounting law requires. ### Can I send letters in bulk or do a mail merge? Not yet: Print and Mail Company doesn't offer bulk mail merge from a CSV file, but you can automate many letters through the REST API or the MCP connector. With the [API](/faq#is-there-an-api), your software can create and send letters one at a time from your own data, each with its own PDF, recipient and options, paid from your prepaid credit. ### Can my company get a Data Processing Agreement (DPA)? Yes, business customers can request a Data Processing Agreement (DPA) from Print and Mail Company by writing to [privacy@printandmailcompany.com](mailto:privacy@printandmailcompany.com). You can use your company letterhead by including it in your PDF, as long as it stays outside the 9 mm margin, but Print and Mail Company can't print on your own or pre-printed paper. Every letter is printed on our standard A4 paper, in black & white or colour. You can also add your company's return address, which is printed on the envelope; there are no window envelopes.
