Letters for Associations, Clubs and NGOs to Members Worldwide

Your PDF is printed as it is, so your logo and layout stay the same; just keep 9 mm free on every side. Each letter is one PDF for one recipient, so every letter can carry the member's own name, number and amount.

We print and post in Luxembourg, France, Belgium or Germany, and postal carriers deliver to every country on our destinations page. The price depends on the destination zone, the number of pages and the envelope: including VAT, a 1-page black & white letter within Luxembourg costs US$2.74 and a 3-page colour, double-sided letter to Germany US$4.58.

Delivery times are typical, not guaranteed. A4 and US Letter PDFs both work: we print on the size you upload.

• On the website: upload a letter on the send page, choose the member from your address book, check the price and pay. Good for occasional letters.
• With an AI assistant: ask Claude, ChatGPT or another MCP client, for example: "Write a thank-you letter to our donor Maria Silva and show me the price." The assistant writes the text with compose_letter, creates a draft with the exact price and sends it only after you confirm. It can also take PDFs from your membership software and create one draft per letter. See send letters with AI.
• From your membership software, through the REST API: for each member, your software uploads the PDF, creates a draft with the address and the exact price, and sends it from your prepaid credit. The API is documented at /openapi.json.

Letters paid by 12:00 Central European Time on a business day are usually posted the same business day.

• No subscription, monthly fee or setup fee, which suits associations that send letters a few times a year.
• Prepaid credit: the minimum top-up is CHF 10.00 / €10.00 / £10.00 / US$10.00. Credit does not expire while your account exists, and unused credit is refunded on request (processing fees and card surcharges already charged are not refundable).
• Exact price before you send, including VAT.
• A VAT invoice for every letter and every payment, available in your account for the treasurer's records.
• VAT: prices include 17% Luxembourg VAT. Associations and NGOs established in another EU country with a VAT number confirmed by VIES are invoiced net under the EU reverse charge; add the details under Settings → Business details.
• Account currency: EUR, USD, GBP or CHF, chosen at sign-up.

• Registered mail for letters where you want a tracking number and a signature on delivery, for US$9.63 (excl. VAT) on top of the letter price. A return receipt is not offered yet.
• Statuses: follow every letter in your account (Paid → Printed → Posted), and each paid letter is confirmed by email. Until production starts, you can cancel a letter, and the full amount goes back to your credit.
• Returned letters: our company address in Luxembourg is the return address on every envelope. If a letter comes back as undeliverable, its status in your account shows it as returned, so you can update the member's address.
• Members' data: hosted in the EU, and letter content is processed only to print it: no profiling, no advertising and no AI training. Uploaded files are deleted 30 days after posting, and a Data Processing Agreement is available on request.
