Send Letters to Authorities Online: Tax Office, Court, Embassy

Print and Mail Company prints your formal letter in Luxembourg and posts it to tax offices, courts, embassies, municipalities, insurers and landlords in any country, as a standard or a POST Luxembourg registered letter. You upload a PDF, we check the layout, print, envelope and post it, and you follow every step by email.

Who you can write to

You can send any letter or document to a postal address worldwide, for example to:

  • Tax offices: replies to requests, objections, supporting documents.
  • Courts: statements and documents in procedures that accept submissions by post.
  • Embassies and consulates: applications, supporting documents and enquiries.
  • Municipalities and registry offices: registrations, certificates, applications.
  • Insurers and pension funds: claims, cancellations, objections.
  • Landlords and property managers: notices, defect reports, termination of a lease.

Before you send, check the authority's own rules. Some procedures require an official form, an original handwritten signature, certified copies or a specific channel such as electronic filing. We print your PDF exactly as you upload it.

When to send it registered

Choose registered mail when a deadline runs or when you may later need to show that your letter arrived:

  • objections and appeals with a deadline;
  • answers to official requests with a due date;
  • formal notices to a landlord or insurer, such as a termination or a claim.

Our registered letters are POST Luxembourg registered letters ("Einschreiben" / "recommandé"). You get a tracking number in your account and emails that you can follow on post.lu, and the recipient signs on delivery. The option costs €6.50 (excl. VAT) on top of the letter price. POST Luxembourg registered letters may contain documents only, which is exactly what we send. A return receipt is not offered yet. More about registered mail is in the FAQ.

Formatting tips for official letters

  • Page format: A4 portrait, with 9 mm free of text, images and background colour on every side. If a page does not fit, "shrink to fit margins" scales it with one click.
  • References first: put your tax ID, case number, file reference or policy number near the top and repeat it in the subject line.
  • A clear subject line, for example "Objection to the tax assessment of 3 March 2026, tax ID …".
  • Your contact details: full name, postal address, and an email address or phone number.
  • Signature: if a printed signature is acceptable, insert a scan of your signature into the PDF.
  • Enclosures: add copies of supporting documents to the same PDF (up to 250 pages and 20 MB) and list them at the end of the letter.
  • Colour: colour printing applies to the whole document, so choose it only when a document needs it.

Address, return address and envelope

Enter the recipient address exactly as the authority publishes it, including department, PO box or reference. We print it directly on the envelope, so your letter does not have to place the address in a window position. A recipient block at the top of your letter is fine; it is simply not used for delivery.

Add your own return address so the envelope shows who the sender is; if you leave it empty, we print our company return address. The smallest suitable envelope is pre-selected:

  • DL (220 × 110 mm), folded twice, up to 5 sheets;
  • C5 (229 × 162 mm), folded once, up to 10 sheets;
  • C4 (324 × 229 mm), flat, up to 250 sheets.

You can always choose a larger envelope, for example C4 so that certificates arrive unfolded.

How to send a letter to an authority

  1. Save your letter and any enclosures as one PDF.
  2. Upload it on the send page and fix any pages marked in red.
  3. Enter the recipient address and, ideally, your own return address.
  4. Choose standard or registered mail, black & white or colour, and single- or double-sided printing.
  5. Check the exact price including VAT and pay by card or from your credit.
  6. Follow the status by email: Paid → In production → Printed → Posted.

Letters paid by 12:00 Luxembourg time on a business day are usually posted the same business day. Typical delivery after handover is 1–2 business days within Luxembourg and 2–4 to Germany, Belgium, France and the Netherlands (not guaranteed). Can I send a letter to a tax office or embassy in another country?

Yes. We print in Luxembourg and POST Luxembourg delivers to any country. The price depends on the destination zone, the number of pages and the envelope; the pricing page shows the tariff.

Will the authority accept a printed signature?

That depends on the authority and the procedure. We print your PDF exactly as uploaded, including a scanned signature, but we cannot add an original handwritten signature. If the procedure requires one, or an official form, follow those rules instead.

Can I include copies of documents with my letter?

Yes. Combine the letter and the copies into one PDF of up to 250 pages and 20 MB. We pre-select the smallest suitable envelope, and you can choose C4 if the documents should arrive flat.

Should I send letters to authorities by registered mail?

Use registered mail when a deadline applies or when you may need to show that the letter was delivered. It adds €6.50 (excl. VAT) and gives you a POST Luxembourg tracking number and delivery against signature.

Do you read or keep my letters?

Letter content is processed only to print your letter; staff handle printouts in production but do not read them. Uploaded PDFs and print files are deleted automatically 30 days after posting, so keep your own copy. Invoices are kept for 10 years, as Luxembourg accounting law requires.
