Send Invoices and Payment Reminders by Post: API, AI or Upload

Print and Mail Company prints and posts your invoices, payment reminders and final notices. Your billing or accounting software creates one PDF per invoice, and you send each one through our REST API, through an AI assistant or by uploading it on the website. We print it in Luxembourg, France, Belgium or Germany, print your customer's address on the envelope and post it to any country, paid per letter from prepaid credit.

Invoices and reminders companies send by post

  • Invoices for customers who want them on paper or have no email address on file.
  • Payment reminders and final notices, as standard letters or as registered letters with a tracking number.
  • Credit notes and statements of account.
  • Invoices to customers abroad, delivered by postal carriers to the countries on our destinations page.

Your PDF is printed exactly as your software creates it, so your logo, letterhead and payment details stay as they are; just keep 9 mm free on every side of each A4 or US Letter page. We print the customer's address directly on the envelope, so the layout of your invoice template can stay as it is.

Three ways to send many invoices

From your billing software, through the REST API. For each invoice, your system:

  1. uploads the PDF (POST /documents), which runs the print check;
  2. creates a letter with the customer's address and your print options (POST /letters), which returns a draft with the exact price and charges nothing;
  3. sends it (POST /letters/{id}/send), paid from your prepaid credit.

GET /letters/{id} returns the status and, for registered letters, the tracking number. The API is at https://printandmailcompany.com/api/v1, documented by the OpenAPI spec at /openapi.json, and authenticates with an API key that you create in your account under API & AI assistants.

With an AI assistant. Connect Claude, ChatGPT or another MCP client to our MCP connector and give it your invoice PDFs and the customers' addresses. It creates one draft per invoice with the exact price, shows you the list and sends the letters only after you confirm, paid from your credit; get_letter then reports each letter's status.

On the website. Upload each invoice on the send page, choose the customer from your address book and pay. This works well for a few invoices a week.

Each letter has its own PDF and its own recipient. Letters paid by 12:00 Central European Time on a business day are usually printed and handed to the postal carrier the same business day.

Payment reminders and final notices by registered mail

You choose standard or registered mail for each letter. A registered letter:

  • gets a tracking number once it is posted, shown in your account and in the API, which you can follow on the carrier's website;
  • is delivered against signature: the recipient signs for it;
  • costs US$9.63 (excl. VAT) on top of the letter price.

A separate return receipt is not offered yet. Standard letters have no tracking number, but you can follow the status of every letter (Paid → Printed → Posted) in your account, and each paid letter is confirmed by email.

Cost control: prepaid credit, VAT invoices and reverse charge

  • Exact price before sending: every draft shows the exact price, and GET /api/v1/quote prices any letter in advance by pages, print options and destination, without an API key.
  • Prepaid credit: you top up (minimum CHF 10.00 / €10.00 / £10.00 / US$10.00), and letters sent through the API or an AI assistant are paid from that balance. If it is too low, the API answers with an error and the assistant gives you a top-up link.
  • Example prices including VAT: a 1-page black & white letter within Luxembourg costs US$2.74, and a 3-page colour, double-sided letter to Germany US$4.58. The full tariff is on the pricing page.
  • No subscription, monthly fee or setup fee. Credit does not expire while your account exists, and unused credit is refunded on request (processing fees and card surcharges already charged are not refundable).
  • A VAT invoice for every letter and every payment, available in your account for your bookkeeping.
  • EU reverse charge: if your business is established in another EU country and its VAT number is confirmed by VIES, you pay net prices, and your invoices show your company details and the reverse-charge note. Add them under Settings → Business details. Businesses in Luxembourg pay 17% Luxembourg VAT.

Address book, statuses and recipients worldwide

  • Address book: save the customers you write to regularly and choose them when you send a letter on the website.
  • Statuses: follow each letter in your account or with GET /letters, which can filter by status; each paid letter is confirmed by email. Until production starts (status "Paid"), you can cancel a letter, and the full amount goes back to your credit.
  • Worldwide recipients: we print and post in Luxembourg, France, Belgium or Germany, and postal carriers deliver to every country on our destinations list. Typical delivery after handover is 1–2 business days within Luxembourg, 2–4 to Germany, Belgium, France and the Netherlands, 3–6 in the rest of Europe and 5–15 elsewhere (not guaranteed).
  • Return address: our company address in Luxembourg is printed as the return address on every envelope, so your company name and address belong in the invoice itself. If a letter comes back as undeliverable, its status in your account shows it as returned.
  • Data protection: data is hosted in the EU, letter content is processed only to print it, and uploaded files are deleted 30 days after posting. Business customers can request a Data Processing Agreement.

Questions about this

Can my billing software send invoices by post automatically?

Yes. Through the REST API at https://printandmailcompany.com/api/v1 (OpenAPI spec at /openapi.json), your software uploads each invoice PDF, creates a draft letter with the customer's address and the exact price, and sends it from your prepaid credit. Requests are authenticated with an API key from your account.

How much does it cost to send an invoice by post?

Each letter costs the envelope, paper, printing and postage, plus US$9.63 (excl. VAT) for registered mail, with 17% Luxembourg VAT on the total. A 1-page black & white letter within Luxembourg costs US$2.74. Businesses in another EU country with a VAT number confirmed by VIES pay net prices. See the pricing page.

Can I send payment reminders by registered mail?

Yes. Choose registered mail for any letter: it gets a tracking number, shown in your account and through the API, and the recipient signs on delivery. It adds US$9.63 (excl. VAT). A return receipt is not offered yet.

Can I get invoices without VAT for my company?

Yes, if your business is established in another EU country and its VAT number is confirmed by VIES: we then invoice net prices under the EU reverse charge. Businesses in Luxembourg pay 17% Luxembourg VAT, and businesses outside the EU are currently invoiced with Luxembourg VAT. Details are in the FAQ.

Can I send invoices to customers in other countries?

Yes. We print and post in Luxembourg, France, Belgium or Germany, and postal carriers deliver to the countries on our destinations page. The price depends on the destination zone. Typical delivery after handover is 2–4 business days to Germany, Belgium, France and the Netherlands and 5–15 outside Europe (not guaranteed).
