Property Management Mail: Letters to Tenants and Co-Owners

• Rent statements and service-charge statements, with all supporting pages in the same PDF.
• Notices and information for tenants, for example about works, inspections, meter readings or rent changes.
• Invitations to owners' meetings with the agenda and documents, and the minutes afterwards.
• Calls for funds and payment reminders to co-owners.
• Letters to owners and tenants who live abroad, delivered by postal carriers worldwide.

Each letter is one PDF for one recipient: your software or word processor creates a personalised PDF for each tenant or owner, and we print it exactly as it is, with your letterhead and layout. Just keep 9 mm free on every side.

You choose for each letter whether it goes as a standard or a registered letter. A registered letter:

• gets a tracking number once it is posted, shown in your account, which you can follow on the carrier's website;
• is delivered against signature: the recipient signs for it;
• costs US$9.63 (excl. VAT) on top of the letter price.

Registered mail is also available for letters to other countries. A separate return receipt is not offered yet. You can follow every letter's status in your account, and each paid letter is confirmed by email. Keep your own copy of each PDF: we delete uploaded files automatically 30 days after posting.

An invitation to the owners' meeting often comes with the agenda, the accounts and other documents. Put them all in one PDF of up to 250 pages and 4 MB:

• the smallest suitable envelope is chosen automatically: DL up to 5 sheets (folded twice), C5 up to 10 sheets (folded once) and C4 up to 250 sheets (flat), and you can always choose a larger one;
• double-sided printing puts two pages on each sheet;
• colour applies to the whole letter, so choose it when plans or photos need it;
• the address is printed on the envelope, so the documents keep their layout.

• From your property management software, through the REST API: for each tenant or owner, your system uploads the PDF, creates a letter with the recipient's address and options (a draft with the exact price; nothing is charged) and sends it from your prepaid credit. Statuses and tracking numbers come back through the API, which is documented at /openapi.json.
• With an AI assistant: give Claude, ChatGPT or another MCP client the PDFs and the addresses. It creates one draft per letter, shows you the prices and sends only after you confirm. See send letters with AI.
• On the website: upload each letter on the send page and choose the recipient from your address book, where you can save the tenants and owners you write to.

Letters paid by 12:00 Central European Time on a business day are usually posted the same business day, and you can cancel a letter until production starts.

• Pay per letter: envelope, paper, printing and postage, plus US$9.63 (excl. VAT) for registered mail, with 17% Luxembourg VAT on the total. A 1-page black & white letter within Luxembourg costs US$2.74, and a 3-page colour, double-sided letter to Germany US$4.58.
• No subscription, monthly fee or setup fee. The minimum top-up is CHF 10.00 / €10.00 / £10.00 / US$10.00, and credit does not expire while your account exists.
• A VAT invoice for every letter and every payment, so you can assign each letter's cost to the right property in your accounts.
• EU reverse charge: property management companies established in another EU country with a VAT number confirmed by VIES pay net prices; add your business details under Settings → Business details.
• Data protection: tenants' and owners' data is hosted in the EU, letter content is processed only to print it, and uploaded files are deleted 30 days after posting. A Data Processing Agreement is available on request.
