Send Business Letters Without an Office: For Remote Companies
Print and Mail Company handles outgoing paper mail for companies without an office: remote-first teams, founders and managing directors who live abroad, and businesses that use a virtual office or a registered-address service. You upload a letter as a PDF from anywhere, or send it from your software or an AI assistant, and we print it in Luxembourg, France, Belgium or Germany and post it to any country.
Companies that send letters without an office
- Remote-first companies whose team works from home, in one country or in several.
- Founders and managing directors who run a company in one country while living in another.
- Businesses that use a virtual office or a registered-address service and send their own outgoing letters.
- Online shops, agencies and consultancies that work without a printer or a franking machine.
You need no office equipment: a laptop or a phone and a PDF are enough.
Official letters you can send from anywhere
- Letters to authorities, such as tax offices and business registers (more).
- Contracts, amendments and terminations for suppliers, landlords and insurers.
- Invoices and payment reminders (more).
- Letters to banks, clients and partners in other countries.
Choose standard or registered mail for each letter. A registered letter gets a tracking number, the recipient signs on delivery, and it costs US$9.63 (excl. VAT) on top of the letter price. We print your PDF exactly as you upload it, including a scanned signature, in black & white or colour, single- or double-sided.
Your company address and our return address
Every envelope carries our company address in Luxembourg as the return address. Your letterhead in the PDF tells recipients who the letter is from and where to reply, for example your registered office, your virtual office or an email address.
If a letter cannot be delivered, it comes back to us, and its status in your account shows it as returned. The recipient address is printed directly on the envelope, so your letter template can stay as it is; it only needs 9 mm free on every side of each A4 or US Letter page.
Send from the website, your software or an AI assistant
- Website: upload a PDF on the send page from your laptop or phone, enter the recipient or choose one from your address book, check the exact price and pay.
- REST API: your own software uploads PDFs, creates drafts with the exact price and sends them from prepaid credit (
https://printandmailcompany.com/api/v1, OpenAPI spec at/openapi.json, API keys in your account). - AI assistants: connect Claude, ChatGPT or another MCP client and ask, for example: "Send the signed contract PDF to Exemple SARL, 5 rue des Lilas, 75020 Paris, as a registered letter and show me the price first." The assistant creates a draft and sends it only after you confirm. See AI assistants.
You can follow every letter's status (Paid → Printed → Posted) in your account, through the API or with get_letter in an AI assistant, and each paid letter is confirmed by email. Letters paid by 12:00 Central European Time on a business day are usually printed and posted the same business day.
Billing for companies
- No subscription, monthly fee or setup fee: you pay per letter, from prepaid credit (minimum top-up CHF 10.00 / €10.00 / £10.00 / US$10.00) or by card.
- Account currency: EUR, USD, GBP or CHF, chosen at sign-up.
- A VAT invoice for every letter and every payment, available in your account.
- EU reverse charge: businesses established in another EU country with a VAT number confirmed by VIES pay net prices; add your business details under Settings → Business details. Businesses in Luxembourg pay 17% Luxembourg VAT, and businesses outside the EU are currently invoiced with Luxembourg VAT.
- Data protection: data is hosted in the EU, uploaded files are deleted 30 days after posting, and a Data Processing Agreement is available on request.
Example prices including VAT: US$2.74 for a 1-page black & white letter within Luxembourg, and US$28.17 for a 20-page, double-sided, black & white registered letter to the USA in a C4 envelope. See the pricing page.
Questions about this
Can we send company letters without an office or a printer?
Yes. Upload a PDF from anywhere, or send it through our API or an AI assistant, and we print it, put it in an envelope, frank it and post it in Luxembourg, France, Belgium or Germany. You need no printer, envelopes, stamps or franking machine.
Where do recipients send their replies?
To the address in your letter. The envelope shows our company address in Luxembourg as the return address, so put your company's name, address and contact details in the letter itself, for example in your letterhead.
Can we send registered letters while we are abroad?
Yes. Choose registered mail for any letter: it gets a tracking number, shown in your account, and the recipient signs on delivery. It adds US$9.63 (excl. VAT). A return receipt is not offered yet.
Can we get invoices without VAT for our company?
Can our software or an AI assistant send letters for us?
Yes. Your software can use the REST API (OpenAPI spec at /openapi.json), and AI assistants such as Claude or ChatGPT can use our MCP connector. Both create drafts with the exact price and pay from your prepaid credit, and an assistant sends only after you confirm.
