International Mail for US Businesses: Invoices and Letters Abroad

Print and Mail Company sends the international letters of US businesses: invoices and payment reminders for customers in Europe and elsewhere, contract notices for partners abroad and letters to foreign authorities. Your software sends them through our REST API, an AI assistant prepares them, or you upload a PDF; we print each letter in Europe and mail it to the recipient's country. You pay per letter from prepaid credit, in US dollars if you like, with an invoice for every letter.

What US businesses mail abroad

  • Invoices for European and international customers who want them on paper.
  • Payment reminders and final notices, as standard or registered letters.
  • Contract notices: renewals, price changes and terminations for distributors, suppliers, landlords and partners abroad.
  • Letters to foreign authorities, such as tax offices and business registers in the countries where you do business (more).
  • Letters to banks, clients and partners in Europe and worldwide.

We print your PDF exactly as you upload it, with your letterhead, logo and layout, on US Letter or A4 paper; just keep 9 mm free on every side. The recipient's address is printed directly on the envelope in the destination's postal format.

Fast to Europe, not meant for mail within the US

Your letters are printed and mailed in Europe, so letters to European customers only travel within Europe. Typical delivery after handover (not guaranteed):

Destination Typical delivery after handover
Germany, Belgium, France, the Netherlands 2–4 business days
Rest of Europe 3–6 business days
Rest of the world, including the US 5–15 business days

That makes us a good fit for letters to Europe and to other countries, but not for mail inside the US: a letter to a US address also travels from Europe, and US domestic services are faster and cheaper for it. Letters paid by 12:00 Central European Time on a business day, which is early morning in the US, are usually printed and mailed the same business day.

Send by API, AI assistant or upload

  • REST API: for each letter, your billing or accounting software uploads the PDF (POST /documents), creates a draft with the recipient's address and the exact price (POST /letters; nothing is charged) and sends it (POST /letters/{id}/send), paid from your prepaid credit. The API is at https://printandmailcompany.com/api/v1, documented at /openapi.json, with API keys from your account. Details are on the international mail API page.
  • AI assistant: connect Claude, ChatGPT or another MCP client to our MCP connector and ask, for example: "Send these invoice PDFs to the customers in this list as registered letters and show me the prices first." The assistant creates one draft per letter and sends them only after you confirm.
  • Website: upload a PDF on the send page, choose the recipient from your address book and pay. This works well for a few letters a week.

Each letter has its own PDF and its own recipient. We print only what is in the PDF, so we can't add checks, signed paper originals, other enclosures or goods.

Registered mail for notices and reminders

Choose standard or registered mail for each letter. A registered letter:

  • gets a tracking number once it is posted, shown in your account and in the API;
  • is delivered against signature: the recipient signs for it;
  • costs US$12.31 (excl. VAT) on top of the letter price.

It is international registered mail, not US Certified Mail, and a separate return receipt is not offered yet. You can follow every letter's status in your account or through the API, and each paid letter is confirmed by email. Our company address is the return address on every envelope, so your company's name and address belong in the letter itself; if a letter comes back as undeliverable, its status shows it as returned.

Billing for US companies

  • Account currency: USD (or EUR, GBP, CHF), chosen at sign-up. Prices are set in EUR and converted at the ECB reference rate plus a 12% currency margin when you pay.
  • Prepaid credit: top up by card (minimum CHF 10.00 / €10.00 / £10.00 / US$10.00), and letters sent through the API or an AI assistant are paid from that balance. US cards carry a surcharge, shown as a separate line before you pay.
  • No subscription, monthly fee or setup fee. Credit does not expire while your account exists, and unused credit is refunded on request (processing fees and card surcharges already charged are not refundable).
  • An invoice for every letter and every payment, available in your account. Prices include 17% VAT, which currently also applies to businesses outside the EU.
  • Example price: a 1-page black & white letter to Germany or France costs US$4.51 including VAT. The full tariff is on the pricing page.
  • Data protection: data is hosted in the EU, letter content is processed only to print it, and uploaded files are deleted 30 days after posting. A Data Processing Agreement is available on request.

Questions about this

Can a US company open an account and pay in US dollars?

Yes. Sign up with email and password, a magic link or Google, and choose USD as the account currency. You pay per letter from prepaid credit topped up by card, with no subscription. US cards carry a surcharge, shown as a separate line before you pay.

How quickly do letters reach our customers in Europe?

We print and mail them in Europe. Letters paid by 12:00 Central European Time on a business day are usually handed to the postal carrier the same business day, and typical delivery after that is 2–4 business days to Germany, Belgium, France and the Netherlands and 3–6 to the rest of Europe (not guaranteed).

Should we use Print and Mail Company for mail within the US?

Usually not. Letters to US addresses are also printed and mailed in Europe and typically take 5–15 business days after handover, so for mail inside the US a US domestic service is faster and cheaper. We are the better fit for letters to Europe and other countries.

Can our billing software send invoices abroad automatically?

Yes. Through the REST API at https://printandmailcompany.com/api/v1 (OpenAPI spec at /openapi.json), your software uploads each invoice PDF, creates a draft letter with the customer's address and the exact price, and sends it from your prepaid credit. Requests are authenticated with an API key from your account.

Do we get an invoice for each letter?

Yes. An invoice for every letter and every payment is available in your account. Prices include 17% VAT, which currently also applies to businesses outside the EU. See the pricing page for the tariff.
